How To Extract 1099 Data To Excel

The 1099 family covers more than ten distinct tax forms, each with its own boxes and uses. Manually transcribing payer names, recipient TINs, and box-level values from a stack of mixed 1099s is one of the slowest pieces of tax-season data entry. This guide explains how to extract 1099 data into Excel automatically, what fields land in the output, and how to handle a folder containing different 1099 variants without sorting them first.

1. What is a 1099 form?

The IRS 1099 series reports income paid to a non-employee. The most common variants:

  • 1099-NEC: Nonemployee Compensation. Payments of $600 or more to independent contractors (OMB 1545-0116).
  • 1099-MISC: Miscellaneous Income. Rents, royalties, prizes, awards, medical and attorney payments (OMB 1545-0115).
  • 1099-INT: Interest Income from banks and other payers.
  • 1099-DIV: Dividends and Distributions from investment accounts.
  • 1099-B: Proceeds from Broker and Barter Exchange Transactions.
  • 1099-K: Payment Card and Third Party Network Transactions.
  • 1099-R: Distributions From Pensions, Annuities, Retirement or Profit-Sharing Plans.
  • 1099-G: Government Payments (unemployment, state tax refunds).
  • 1099-Q: Payments From Qualified Education Programs.
  • 1099-C: Cancellation of Debt.
  • 1099-S: Proceeds From Real Estate Transactions.

2. What is the difference between 1099-NEC and 1099-MISC?

Before tax year 2020, nonemployee compensation was reported on Form 1099-MISC (Box 7). The IRS revived Form 1099-NEC for tax year 2020 and moved nonemployee compensation onto it. Today:

  • 1099-NEC reports payments of $600 or more to independent contractors and self-employed individuals for services.
  • 1099-MISC reports rents (Box 1), royalties (Box 2), other income (Box 3), prizes and awards, medical and health care payments (Box 6), and attorney payments (Box 10), among other categories.

A business that paid both an independent contractor and a landlord in the same year would issue a 1099-NEC to the contractor and a 1099-MISC to the landlord.

3. What boxes are on a 1099-NEC?

  • Payer info: Payer name, payer TIN, payer address.
  • Recipient info: Recipient name, recipient TIN, recipient address.
  • Box 1: Nonemployee compensation.
  • Box 2: Payer made direct sales of $5,000 or more (checkbox).
  • Box 4: Federal income tax withheld.
  • Box 5: State tax withheld.
  • Box 6: State / payer's state number.
  • Box 7: State income.

Tax year and account number are pulled from the form header.

  • Box 1: Rents

5. Step-by-step: extract a 1099 to Excel
