To scan receipts into QuickBooks or Xero, capture each receipt — snap a photo from your phone's browser or batch-upload PDFs and images — let DocuClipper extract the merchant, date, line items, tax, and total, then push the data to QuickBooks Online or Xero (or export CSV for Xero, NetSuite, and Sage). It is the same flow for one receipt or a stack.
Step 1: Capture the receipt
- From your phone (snap-and-upload): open DocuClipper in your phone's browser, photograph the paper receipt, and upload it. DocuClipper does not have a native iOS or Android app yet — mobile capture means photographing the receipt and uploading it through the browser.
- From your computer (batch upload): click Add Documents → Invoices/Receipts and drag in a folder of PDF or image receipts at once. This is the fastest path for a month of expenses in one sitting.
Step 2: Review the extracted fields
When processing finishes, open the Invoices tab. DocuClipper extracts merchant, date, line items, tax, tip, and total from each receipt — template-free, so a merchant you have never scanned works with no setup. Click a row to review fields against the receipt image and edit anything that needs a correction.

Step 3: Categorize (and let it stick)
Assign each receipt to the right account or category. As with invoices, vendor mappings persist: once you categorize a merchant, repeat receipts from that merchant come in already coded. Recurring expenses — coffee shops, fuel, subscriptions — stop needing manual attention. See Auto-Code Invoices to GL Accounts.
Step 4: Send to QuickBooks or Xero
- QuickBooks Online: connect your QuickBooks account and sync the receipt data directly.
- Xero: sync to Xero directly, or export CSV and import.
- NetSuite / Sage: export CSV and import on their side.
Once connected, receipts land in your accounting software with merchant, date, total, and category already in place — no manual keying.
