How Long DocuClipper Keeps Your Data

Data retention by account status: 30 days on free and trial accounts, for as long as you subscribe on paid plans, and 90 days after you cancel, with email warnings before anything is deleted.

How long DocuClipper keeps your converted files depends on your account status, not on which paid plan you are on. While you have an active paid subscription, nothing is aged out. On free and trial accounts, files are kept for 30 days. After you cancel a paid plan, your data is kept for 90 days, and we email you before it is deleted.

Retention at a glance

Storage plan ($5/month)For as long as the Storage plan is active (read-only)

"Files" here means everything produced from your uploads: the original PDFs, extracted transactions, invoices and forms, and the export history for them.

Free and trial accounts

Each file is deleted 30 days after it was uploaded. If you subscribe to a paid plan before then, every file still on your account switches to paid retention and is kept for as long as you subscribe. Nothing from your trial is lost when you upgrade.

On any paid plan, your files stay in your account for as long as the subscription is active. That includes:

  • files uploaded by users you added to your team
  • files that arrive through an automation (email forwarding, Google Drive, OneDrive, Dropbox, Box, or the API)

A payment that fails and is being retried does not start any deletion.

After you cancel

When a paid subscription ends, a 90-day clock starts for the whole account, including every user on your team.

  • About 30 days before deletion, the account owner gets an email with the deletion date.
  • About 7 days before deletion, the account owner gets a final reminder.
  • On the deletion date, uploaded PDFs, extracted data and export history are permanently deleted.

Your settings are kept so you can pick up where you left off if you come back: templates, categorization rules, tags, folders and projects, column settings, and integration mappings.

The clock stops as soon as you resubscribe to a paid plan or switch to the Storage plan. To resubscribe, go to Settings → Plan & Billing in the app.

Keep your data without a full plan

The Storage plan costs $5/month and keeps all your existing files available read-only: you can open, review and download them, but not upload or process new documents. Choose it with the Choose Storage link in either warning email.

Deleting files yourself

You can delete any file at any time from its actions menu, whatever your account status. Manual deletion is immediate and permanent.

To close your account entirely, see Closing your account and deleting your data.

FAQs

Does a higher plan keep my data longer?

No. Every paid plan keeps your files for as long as the subscription is active. Retention depends on whether you are subscribed, not on plan size.

I cancelled. Can I still download my files?

Yes, for 90 days after the subscription ends. Download anything you need before the date in the warning email, or switch to the Storage plan to keep read-only access.

Can a deleted file be recovered?

No. Deleted files cannot be restored. If you still have the original PDF, uploading it again produces the same result.
