Using the Invoices List

Overview #

The Invoices list is where you see all invoices and receipts that have been converted in a project. From here you can filter by approval status or sync status, add more documents, download data in bulk, and open any invoice to edit or export it.

Where to find the Invoices list #

  • Open your workspace (All files) and select a project.
  • If the project includes Invoices/Receipts, open the project and click the Invoices tab (or Invoices/Receipts in the project navigation).
  • The main content area shows the Invoices list (table of converted invoices).

Tabs #

Above the table you can switch between:

  • All – Every converted invoice in the project.
  • Needs Approval – Invoices that are pending approval (when approval rules are used).
  • Not Synced – Invoices that have not yet been synced to QuickBooks or Xero (when you use integrations).

Use these tabs to focus on what needs attention.

Table columns #

The table typically includes (depending on configuration):

  • Vendor / Customer – Extracted vendor or customer name.
  • Amount – Invoice total.
  • Type – Document type (e.g. Bill, Expense, Invoice, or payables/receivables).
  • Date – Invoice date.
  • Approval status – Pending, approved, or rejected (if approval workflow is used).
  • PO match – Whether the invoice is matched to a purchase order.
  • Bank match – Whether the invoice is matched to bank transactions.
  • Synced – Whether the invoice has been synced to an integration (e.g. QuickBooks, Xero).

You can sort and filter columns to find specific invoices.

Actions from the list #

  • Open an invoice – Click a row to open the invoice detail view, where you can edit fields, change document type, run rules, export to QuickBooks or Xero or Excel, submit for approval, and match to bank transactions or purchase orders.
  • Add documents – Use Add documents (or similar) to upload more PDFs to the same job and convert them. After conversion they appear in the list.
  • Download – Click Download to open the download modal. Choose which documents to include and the output format (Excel/CSV). You can configure custom columns and extra fields. See Downloading invoices and receipts.
